Bookings

Overview

The Bookings module is the core of autoGMS. Every repair job, service, or inspection starts as a booking. Bookings follow a defined status lifecycle and are assigned to bays for scheduling.

Key Concepts

  • Booking Number — Auto-generated in the format BK-YYYYMM-#### (e.g. BK-202604-0012). Sequential per Garage, per month.
  • Status Lifecycle — Each booking transitions through: draftscheduledin_progresscompletedinvoiced. Bookings can also be cancelled from any pre-invoiced state.
  • Services — One or more services from your Services catalog are attached to each booking.
  • Bay Assignment — Bookings are assigned to a bay and appear on the Bays Kanban.

Primary Flows

  1. Create a Booking — From the reception desk or bookings list, select a customer and vehicle, pick services, assign a bay and date, then save as draft or schedule immediately.
  2. Start Work — Transition from scheduled to in_progress when work begins. The bay Kanban updates in real time.
  3. Complete and Invoice — Mark as completed, then generate an invoice directly from the booking.

Estimates and Quotes

Before creating a full booking, you can create an estimate. Estimates generate a shareable public link (/e/[token]) that your customer can review and approve. Once approved, the estimate converts to a booking with a single click.

Permissions and Plan Gating

Bookings are available on all plans. The number of active bookings may be limited on the Free tier.

  • Bays — Visual scheduling
  • Invoices — Billing from completed bookings
  • Customers — Customer linked to each booking
  • Vehicles — Vehicle linked to each booking

FAQ

Q: Can I reopen a completed booking? A: No. Once a booking is completed and invoiced, it cannot be reopened. Create a new booking instead.

Q: What happens if I cancel a booking? A: The booking moves to cancelled status. Any bay assignment is released. No invoice is generated.

Q: Can I assign multiple services to one booking? A: Yes. Add as many services as needed from the services catalog.
